How to Specify Banquet Chairs for Dubai Hotels
Specify custom banquet chairs for Dubai hotels with a practical guide to stacking, storage, upholstery, samples and the details needed for a comparable quote.
Custom banquet chairs for a Dubai hotel need to work in three places: the function room, the storage room and the route between them. A chair can suit the interior yet create problems when the events team has to clear the room, move a loaded trolley or find space for the full order.
Before requesting a price, put the operating requirements beside the design reference. The most useful brief states how the chairs will be used, where they will be stored and what the team needs to handle them. That gives a manufacturer enough information to assess a custom design and gives you a consistent basis for comparing quotations.
Start with the events the chairs must serve
List the intended settings: seated dinners, weddings, conference rows or smaller meeting rooms. Record which rooms may operate at the same time and the furniture each setup requires. A chair shared between two rooms cannot serve both simultaneously.
Separate the working quantity from any spares you choose to hold. State whether the chairs will remain indoors or also be used on terraces. Identify any requirement for arms, linking devices or chair covers before the design is developed.
Measure the stack and the storage route
Ask for the assembled chair’s weight and dimensions, the maximum permitted storage stack, and the width, depth and height of that stack. Request the transport limit separately: the number allowed on a trolley may differ from the number allowed in stationary storage.
Check the actual route from the function room to the store, including service lifts, door openings, thresholds and turning space. Confirm the trolley model, loaded dimensions and load limit. An existing trolley should be checked against the proposed chair before it becomes part of the procurement plan.
A storage calculation for a 240-chair order
This example uses assumed dimensions and a hypothetical supplier-confirmed stack limit. It is not a specification for a BSA chair.
| Input | Illustrative value |
|---|---|
| Chairs to store | 240 |
| Chairs per permitted storage stack | 8 |
| Stack positions needed | 240 ÷ 8 = 30 |
| Footprint of each stack | 0.60 m × 0.80 m = 0.48 m² |
| Combined stack footprints | 30 × 0.48 m² = 14.4 m² |
The store must also accommodate access, manoeuvring, trolleys and any spare chairs. 14.4 m² is the sum of the assumed stack footprints, not the required room area. Replace the example values with the proposed chair’s confirmed measurements and check them on your storage plan.
Review the sample with the people who will use it
Ask the events team to assess handling and stacking, housekeeping to review cleaning, and the design team to review the finish. Check protective contact points between stacked chairs and whether upholstery touches the frame of the chair above it.
Evaluate seating comfort at the actual table height. Record seat height, usable seat width, back support and any arm clearance. For conference layouts, have the venue team review the proposed row arrangement and any linking system against the project’s requirements.
If a sample changes after approval, record what changed and recheck the affected dimensions or functions. A different seat pad, arm or back detail should be considered when confirming the final stacking arrangement.
Specify upholstery around the cleaning routine
Give the supplier the housekeeping team’s intended cleaning products and methods. Ask for the fabric reference, colour, care instructions and relevant performance data, then review the upholstery on the sample chair under the venue’s lighting.
An abrasion score alone cannot tell you how many years a fabric will last. The Association for Contract Textiles explains that higher abrasion results do not necessarily mean longer service life, and that cleaning, application and construction also affect performance. ACT guidance on upholstery abrasion.
Confirm how a damaged seat pad, glide or stacking protector would be replaced. Include any agreed spare components in the quotation, with their references, quantities and prices.
Match test evidence to the final chair
Have the project specifier identify the required tests, then request reports that identify the proposed model and construction. Check whether design or material changes affect the evidence being offered.
For example, BS EN 16139:2025 addresses safety, strength and durability for non-domestic seating within its scope. Its scope excludes flammability, upholstery durability and links for linked seating. A report against that standard therefore does not establish all of those properties. BSI standard preview and scope.
Record any separate upholstery, fire-performance or linking requirements in the brief so they can be assessed before production is agreed.
Compare the complete order price
For custom banquet chairs, the unit price needs an agreed specification behind it. Quantity, frame construction, finish, upholstery and stacking details all belong in the quotation. Ask suppliers to identify sampling, any required testing, trolleys, spares, packing and delivery separately.
Confirm what each delivery price includes, particularly unloading and movement to the hotel’s storage area. Request dates for sample approval, production and delivery against the actual brief. If your event date is fixed, include it in the first enquiry so feasibility can be checked early.
